Salary: £25k-£27k per annum + Benefits + 3% annual increment
Reporting to: Kate Bowen (Business Manager, Hoop Social Work)
Working pattern: Cardiff / Hybrid (3 days office & 2 days WFH)
Hours: 37.5 per week (open to negotiate)

The Compliance Assistant / Compliance Officer is responsible for ensuring that all temporary and
permanent workers meet legal, regulatory, client, and company compliance requirements before
commencing work and throughout their assignment or employment. The role involves managing
pre-employment screening, maintaining accurate compliance records, coordinating checks and
references, supporting audits, and ensuring ongoing workforce compliance.
The successful candidate will play a key role in supporting the Social Work division by ensuring
candidates are compliant and ready for work, while maintaining excellent service levels to
candidates, consultants, clients, and internal stakeholders.
Key Responsibilities
Candidate Compliance & Onboarding
• Request and manage all required candidate compliance documentation.
• First point of contact for all compliance queries for the division.
• Proactively follow up with candidates to ensure timely submission.
• Ensure satisfactory pre-employment checks are completed and held on file.
• Complete and monitor the "Ready for Work" process in line with divisional standards.
• Submit and monitor DBS (Disclosure and Barring Service) applications.
• Track DBS progress and proactively follow up outstanding checks.
• Request and monitor YOTI identity verification checks.
• Escalate any concerns or discrepancies identified during screening processes.
Document Verification & Compliance Monitoring
• Verify candidate documentation systematically and proactively on a regular basis.
• Ensure all compliance documentation is accurately recorded, coded, and stored within the
CRM and associated systems.
• Manage document expiry dates through regular reporting and follow-up actions.
• Run pending audit and failed audit reports on neutral vendor and client systems to
proactively maintain compliance standards.
Reference Management
• Manage reference requests and follow up with referees both over the phone and email.
• Coordinate with candidates to obtain alternative references where required.
• Ensure references meet company and client standards before candidate clearance.
Audits & Quality Assurance
• Manage external client audits for Social Work division.
• Ensure all documentation is readily available and compliant with audit requirements.
• Support internal audits and quality assurance activities.
