We’re recruiting an Office Co-ordinator for a confidential client based on Blackfriars Road. This is an exciting opportunity to take ownership of a busy London workplace and become the person who keeps everything and everyone moving smoothly.

From creating a warm welcome for visitors to coordinating facilities, events, IT equipment and workplace safety, no two days will be the same. You’ll have the freedom to use your initiative, improve how things are done and make a genuine difference to the daily experience of employees and visitors.

The office is ideally located within easy reach of Blackfriars, Southwark and Waterloo stations.

What you’ll be doing
  • Creating a friendly, professional and welcoming experience for employees and visitors.

  • Managing reception, incoming calls and visitor and contractor sign-ins.

  • Overseeing the smooth day-to-day running and presentation of the office.

  • Coordinating desks, meeting rooms and car-parking arrangements where required.

  • Preparing meeting rooms, including audiovisual equipment, video conferencing, refreshments and catering.

  • Organising on-site meetings and events, making sure every detail is covered.

  • Logging facilities and IT requests and following them through to resolution.

  • Liaising with cleaners, maintenance engineers, facilities providers and other contractors.

  • Supporting contractor reviews and service-performance meetings.

  • Coordinating equipment and office tours for new starters.

  • Providing basic IT assistance, including setting up desks, docking stations and laptops.

  • Managing stationery, kitchen supplies, office consumables and coffee-machine maintenance.

  • Raising purchase orders and processing purchases and invoices using a cloud-based accounting system.

  • Managing post, couriers and deliveries.

  • Maintaining accurate office records, systems and spreadsheets.

  • Supporting health and safety, environmental, quality and office-security requirements.

  • Completing regular workplace, fire-safety and equipment checks.

  • Keeping First Aider, Fire Marshal and health and safety information up to date.

  • Ordering personal protective equipment and home-working equipment when required.

  • Identifying hazards or maintenance issues and ensuring they are addressed promptly.

  • Supporting local leadership and helping with other business requirements when needed.

What we’re looking for You’ll be a natural organiser who enjoys helping people and solving problems. You’ll be confident working independently, comfortable juggling different priorities and committed to maintaining a professional and welcoming workplace.
