Job Title: Personal Assistant Location: Swansea & Cardiff (predominantly Swansea) – Fridays WFH
Contract Type: Temporary (with strong potential to become permanent)
Salary: £35,000 – £40,000 per annum (DOE)
Hours: Full-time, flexibility required to mirror CEO’s schedule

Hoop Professional Services & HR are thrilled to be partnering with a high-growth, private equity–backed business seeking an experienced Personal Assistant to the CEO on an immediately available basis.

This is a pivotal role supporting a dynamic CEO across Swansea and Cardiff, providing high-calibre executive assistance in a fast-paced and evolving environment. You’ll manage complex diaries, coordinate meetings and travel, prepare board packs, and act as a trusted gatekeeper, ensuring the CEO’s time is spent on high-value priorities. Flexibility to travel at short notice, a full UK driving licence, and the ability to handle sensitive information with the utmost discretion are essential.

This is an opportunity to work closely with senior leadership, supporting the CEO and directly contributing to their effectiveness. The role offers a salary of £35,000–£40,000 (DOE), 25 days’ annual leave plus bank holidays, pension, and reimbursement for mileage and expenses. Flexible working is available, including Fridays from home, and there is potential for this temporary position to become permanent. The role provides variety, a fast-paced environment, and exposure to strategic decision-making within a private equity–backed business undergoing meaningful growth and change. 

In this role, you will:

  • Manage the CEO’s diary and calendar, scheduling meetings, appointments, and events to maximise time efficiency.

  • Monitor, prioritise, and respond to emails and correspondence on behalf of the CEO.

  • Prepare agendas, briefing packs, board papers, and presentation materials; attend meetings to take accurate minutes and log actions.

  • Arrange detailed travel itineraries, booking accommodation, transport, and site visits.

  • Draft, edit, proofread, and sense-check key documents, including board packs and reports, highlighting discrepancies where necessary.

  • Act as the first point of contact for internal and external stakeholders, managing access to the CEO’s time and resources.

  • Handle sensitive and confidential information with discretion and professionalism.

  • Coordinate executive and company events, including board meetings and off-sites.

  • Support projects by conducting research, tracking deadlines, and following up on actions.

  • Process expenses, manage invoices, and track budgets for the CEO.

Our client is looking for someone who:

  • Has proven PA/EA experience at CEO/Board level in a fast-paced environment.

  • Is highly organised, detail-focused, and proactive.

  • Communicates confidently and can influence at senior level.

  • Can adapt quickly to changing demands while maintaining professionalism.

  • Has strong IT skills (MS Office, Outlook, Google Workspace, Teams).
